OVERVIEW 

Smart Assessor Offline application provides the opportunity for Assessors to complete electronic forms whilst working offline, giving the flexibility to work in areas without an internet connection. 


PREPARATION 

Download the App from Android Play Store, Apple App Store or the laptop version from the Smart Assessor login page. Enter login credentials. (Note* ensure the application is synced before and after use to ensure the portfolio is kept up to date, the app can be synced using mobile data, however, it is recommended that you sync via Wi-Fi due to the amount of data that is involved.)

DETAILS 


Assessor Forms can be located on the Assessor dashboard. Select the forms icon to be taken to the assessor forms field. This area will display forms that are not relevant to in-training learners, for example, an enrolment form,

 

To return to the Assessor Dashboard, select the Home icon.

 

Learner Forms are forms which have assigned to in-training learners. Forms that have been assigned to the learner in readiness for completion can be accessed via the Forms icon on the navigation bar when you are viewing a learner’s portfolio.

 

Any Forms that are active will appear in these areas. You can use the drop-down list to filter these forms or to display forms that have previously been completed on the app and synced by selected the “All Archived” option. The process for reactivating a form is covered further down this guide.

 

To add an Assessor Form to the app, select the plus icon on the Assessor Forms screen and use the drop-down options to select a form and assign a due date.

 

To assign a Learner Form to a learner, select the plus icon on the Learner Forms screen and use the drop-down options to select a form and assign a location, due date, link the form to an existing session and assign a category for the form. The location will determine which area the form will appear in within the session when the app is synced to the web.

If you swipe left on a form name and select “Archive”, this will move the active form into the archived area.

To access an active form, click the name of the form that you want to view and complete the details.

 

If you are required to add a signature to the form, you will be requested to enter your log-in details to verify that signature. 

 

Clicking the save icon will save any changes made to the form.

 

Selecting the tick icon will mark the form as complete. All mandatory fields (identified with an asterisk) must be completed to be able to mark the form as completed. If the tick icon is not active, you do not have permission to mark the form as completed.

 

If you make any changes to a form or assign any forms in the app, the app must be synced when online to sync with the web version of Smart Assessor and other users. If the form has been completed, it will not appear in the active forms list after synchronization but can be accessed in the All Archived section.

 

ARCHIVED FORMS

Selecting “All Archived” in the drop-down list will display forms that have been completed and synced. Archived versions of forms are only stored on your device.

If you swipe left on an archived form name and select “Delete”, this will remove that version of the archived form from your device – if a version of that form has been allocated via the web or synced via the app, that version of the form will be available in the learner’s portfolio.

You can click on the name of an archived form to view the details and reactivate it by selecting the Recycle icon. This will create a new instance of the form with all the data previously entered which will then be visible in the active forms list until completed and synced.


SYNCING

The portfolio must be synced when online to update the learner’s portfolio on the web version of Smart Assessor.


To sync the app as an assessor; go to the home screen and select the sync icon or select the sync icon in the top right-hand corner of relevant screens.


To sync the app as a learner; select the burger menu in the top left corner of your screen and either select the course you are in and then select synchronise course or select synchronise all courses or select the sync icon in the top right-hand corner of relevant screens.
