Smart VLE Release Notes -

Our developers have been working very hard and we have some exciting new developments that are now live on Smart VLE. Most of these updates are around reporting in Smart VLE. Please familiarise yourself with these updates. 


Reporting 



The reports section in Smart VLE has been completely revamped. All the old reports have been replaced. 

The new reports available for use are: 


• Assessment List Report 

• Assessment Results Report 

• Assigned Resource Report 

• Author Report 

• Participant Report 

• Resource List Report 


The new functionality allows you to export to an Excel document, allowing you to filter the report to fit your requirements. 

In the actions column, click the folder icon to run the report. 

The parameters of any report can be filtered prior to exporting them by clicking on the parameters button on the right-hand side of the screen. 


When you run the report, the system will automatically default to a table view, this is the optional view for exporting to Excel 



To export your report, click on the export icon and choose the file type that you want to export the report to (xlsx to export to Excel). 



Alternatively, you can choose to view the report in a list view 



You do have the ability to edit these reports to create your own version or to create your own; if you would like to do this, please contact support at vle@smartapprentices.com. 


Assessment List Report 


This report will produce a list of all the assessments on your Smart VLE site. 


The fields available in the report are: 


• Course 

• Title 

• Type 

• Level 

• Description 

• Created By 

• Created At 

• Last Modified 

• Active 



Once you are happy with your choices, click submit to run the report with these parameters. 


Assessment Results Report 


This report will provide you with information about all the assessments that have been assigned from your site. 


The fields available in the report are: 


• Course 

• Assessment Title 

• Assessment Type 

• Assigned By 

• Assessment Date Sent 

• Assessment Start Time 

• Assessment Date Completed 

• Time Taken 

• Assigned To 

• Result 

• Viewed 



Once you are happy with your choices, click submit to run the report with these parameters. 


Assigned Resource Report 


This report will give you information on all resources that have been assigned by your site. 


The fields available in the report are: 


• Course 

• Title 

• Type 

• Media Type 

• Level 

• Description 

• Assigned By 

• Assigned At 

• Assigned To 

• Completed 

• Completed At 



Author Report 


This report will provide you with information about all the authors on your site. 


The fields available in the report are: 


• Username 

• Full Name 

• Email 

• Job Title 

• Place of Work 

• User Group 

• Author Group 

• Created Date 

• Active 



Participant Report 


This report will provide you with information about all the participants (including SA Learners) on your site. 


The fields available in the report are: 


• Username 

• Full name 

• Email 

• Training Provider 

• Employer 

• User Group 

• NI Number 

• Created Date 

• Active 



Resource List Report 


This report lists all the resources that are available on your site. 


The fields available in this report are: 


• Title 

• Type 

• Media Type 

• Level 

• Description 

• Created By 

• Created At 

• Active 



Additional Releases


Participant Support Participants are now able to access support from their dashboard. 


To access support, the participant needs to click the “support ticket” button in the top right-hand corner of the participant screen. This will take them to the support portal, where they can raise a ticket if required. 


Fill-in-the-Blank Text questions


It has come to our attention that some participants are putting a space either before or after their response in the fill-in-the-blank text type questions. This would cause the answer to be marked as incorrect. We have therefore stripped out the spaces before and after the text response to prevent this from happening in the future. 


Text Match Questions


Text Match Questions have now been renamed “matching pairs” to reflect the fact that you can now match images as well as text. An additional hint has been added to matching pairs type questions to help the participant to answer this question type correctly. 


Ending an Assessment


When reaching the end of an assessment, some participants have been confused as the “next” button is still visible but greyed out. 

This has caused some participants to think that the assessment has frozen. To avoid confusion, the next button is hidden when the end of an assessment is reached for most assessments. The question number will indicate to the participant that they have reached the end of the assessment. 

The only assessment that the next button has not been disabled for is the Initial Assessment Type assessments. Initial Assessments are reactive, if a participant is not achieving the level of questions that they are attempting, they will not be taken onto the next level of questions for that unit and be moved on to the next unit. Therefore, the number of questions in the assessment are not shown to the participant. Participants can now flag questions within an initial assessment and go back to those questions whilst they are still within the questions for that unit. 

Before they are taken on to the next unit by the system, Smart VLE will display a prompt to ensure they want to submit those questions and move on. When the participant reaches the final question of the Initial Assessment, they can click the next button, if they have flagged any questions within that unit a prompt will appear. If they choose to move on, or have not flagged any questions, clicking next will take them directly to the results screen.
